The Family
Educational Rights and Privacy Act of 1974 and Amendments (FERPA)
are in effect to protect the privacy and
confidentiality of student records maintained by an educational
institution. The law governs access to
records maintained by the educational institution and the
release of information from those records.
Thus, security and confidentiality is a matter of concern for
all employees who have access to our data systems or physical
facilities. Therefore, each employee with authorized access to
any information through the facilities of
this college, including the student database, is:1. Not to
make or permit unauthorized use of any information.
2. Not to seek personal benefit or permit others to benefit
personally by any confidential information
which has come to them by virtue of their work assignment.
3. Not to exhibit or divulge the contents of any record or
report to any person, except in the conduct of
their work assignment as allowed under FERPA.
4. Not to knowingly include or cause to be included in any
record or report a false, inaccurate or
misleading entry.
5. Not to remove any official record (or copy), report, or
document from the office where it is kept,
except in the performance of their duties.
6. Not to access any student record unless there is a
legitimate "need to know" related to a work
assignment.
7. Not to allow computer access to any individual to whom the
college has not granted computer
authorization.
8. To immediately report any violation of this code to his or
her supervisor.
Vance-Granville Community
College, in accordance with FERPA, has designated the following
information as *public directory information:
a. Name
b. Address
c. Program of study
d. Enrollment status (#of credit hours)
e. Dates of attendance
f. Participation in officially recognized activities
g. Degrees and awards received.
* The College may disclose any of these items without
prior written consent unless notified in
writing by the student to the contrary. Any other
information requires written consent by the
student.
When the student has chosen to indicate information is not to
be released, the requester should be
advised "that we are unable to release any information." You are
advised to refer any questions or requests
for information that you are unsure of the Registrar or
Coordinator of Admissions/Records.
(Note:" Do not release" is indicated in the student's address
field.)
